The Problem: Your Attendees Forget the Date
You're organizing an event. You send invitations, share on social media, send reminders... And on the day, half the registrants have forgotten.
An event QR code solves this by automatically adding the event to the attendee's calendar. Once in Google Calendar or Apple Calendar, they'll receive automatic reminders.
What Information to Encode?
The event QR code uses the iCalendar (VCALENDAR) format, recognized by all calendars:
- Event title (required)
- Start date and time (required)
- End date and time
- Location (full address)
- Description (additional information)
Create Your Event QR Code
- Go to the QRaft Event generator
- Fill in the event title
- Select the start date and time
- Add the end date, location, and description
- Download the QR code
Include the full address in the location field. Some calendar apps will automatically suggest directions to the venue on the day of the event.
Use Cases
Conferences and Trade Shows
Print the QR code on badges, programs, and posters. Each session can have its own QR code.
Weddings and Parties
Include the QR code in your digital or printed invitations. Guests add the date with a single scan.
Classes and Training
Participants will never miss a session again. Ideal for recurring training courses.
Meetups and Community Events
Share the QR code on social media. Interested people save the date instantly.
Calendar Compatibility
The iCalendar format is a universal standard:
- Google Calendar: direct add
- Apple Calendar: direct add via iOS/macOS
- Outlook: automatic import
- Samsung Calendar: natively supported
Tips
- Test the timezone: verify the time displays correctly on another phone
- Add details in the description: video conference link, access code, dress code
- One QR code per event: for multi-day conferences, create one code per session
